Procedure for Receipt, Issue, Usage and Control of HPLC & GC Columns.

 1.0 OBJECTIVE: 

To lay down the procedure for Receipt, Issue, Usage and Control of HPLC & GC Columns.

2.0 SCOPE:

This SOP is applicable for receipt, issue, usage and control of HPLC & GC columns in company Name.

3.0 BACKGROUND: 

NIL

4.0 RESPONSIBILITY:

4.1 Stores In-charge or his designee is responsible for receipt, storage and issuance of HPLC & GC columns.

4.2 All Analytical research personnel shall follow the SOP. 

4.3 Group leader of Analytical research shall ensure the procedures to be followed. 

4.4 Head Analytical research or his designee to ensure overall compliance. 



5.0 PROCEDURE:

5.1 Stores In-charge / his designee shall receive the column along with delivery challan or  invoice.

5.2 Stores In-charge / his designee shall check the columns for any physical damage and shall store the columns in designated area.   

5.3  Stores In-charge shall allocate the column number, each column shall be identified with unique number. And shall enter the details in “Log book for Column Stock Issue and Return details” ( Annexure-2)

5.3.1 Column identification number shall consist of 9 characters.

5.3.2 The first two characters “AR” denotes Analytical Research, the third character ‘C’denotes column, the next three characters are serial numbers starting from 001, seventh character denotes ” – “, eighth and ninth characters denotes last two digits of current year.   

Example: The identification number for the first column received in year 2022shall be numbered  as ARC001-22.

5.4 Analytical research personnel shall raise requisition through “Request for column” (Refer Annexure-1) and get approved from department head or group leader.        

5.5 Store in-charge or his designee shall authorize the issuance of column.

5.6 Issue details of column shall be entered in “Log book for Column Stock Issue and Return details” ( Annexure-2) by stores incharge.

5.7 After receiving column from stores incharge, analyst shall enter the column usage details in “Column Usage Stock Card” ( Refer Annexure-3).   

5.8 Analyst shall condition the column with conditioning solution as per COA before usage. 

5.9 Analyst shall reject column if any abnormality was found during first injection.

5.10 All columns shall be washed after usage with respective washing solution as per respective procedures and placed in secured place.

5.11 During analysis, if any observations like poor peak shape / high pressure / System suitability failure, either column can be used after washing or can be rejected.

Note: Column washing shall be performed using organic solvent + water (30:70) for NLT 30 minutes and final washing shall be performed using 100% organic solvent for  NLT 30 minutes (as per COA of column).

5.12 Once the column is expired, analytical research personnel shall return the column to stores in-charge through “Column Return Request” (Annexure-4) and stores in-shall enter the details in “Logbook for Column Issue and Return details” (Annexure-2). 

5.13 Column usage stock card shall be closed.

5.14 Expired / Rejected column labels shall be crossed with “X” mark and it should be handed over to store in-charge.
